# Understand Hirify's vocabulary

> What interview, interview notes, template, talent pool, speaker, analysis, and signals mean in Hirify

Hirify uses a handful of words with a precise meaning. Here they are, with the place in the app where you'll come across them.

## The interview and how it's recorded

**Interview.** A conversation recorded by Hirify, whatever the channel: video meeting, in person, phone call, or uploaded audio file. It's the basic unit of the product. An interview has a title, a date, a duration, speakers, and a processing status.

**Meeting assistant.** The participant Hirify sends into your video meeting to record it. You bring it in by pasting a meeting link, by adding an address as a guest in your calendar invitation, or from the **Calendar**, where the button reads **Add the meeting assistant**. Once it's in the meeting, the interview shows **Assistant joined**.

**Transcript.** The text of the interview, turn by turn. It's also the name of the third view of an interview page.

**Speaker.** A voice identified in the transcript. Hirify separates the voices, then you name them with the **Identify speakers** button. Interview notes written with named speakers are more accurate than notes written with anonymous voices.

## What Hirify produces

**Interview notes.** The document written from the transcript, in the **Notes** view of an interview page. They follow the structure of the chosen template. You review them, edit them by hand, and regenerate them if needed. They only go to your ATS when you share them, unless an administrator or a billing admin has turned on automatic publishing for the Teamtailor Hirify card.

**Note.** One instance of interview notes. The same interview can hold several, one per template. You switch between them with the pills above the document.

**Key takeaways.** The second view of an interview page: a short version of the interview to skim before a debrief. It's only produced for interviews where a candidate is present.

**Template.** The structure of interview notes: sections, questions, and the type of answer expected. Templates are managed from **Notes templates** in the sidebar. They're either personal or shared with your team. The **No template** option asks for a transcript without structured notes.

**Analysis.** The right-hand panel of an interview page. It brings together what the interview and the CV say about the candidate: career, skills, languages, motivations, and other hiring processes under way. A **Legal watch-outs** section appears when the interview touched on a discrimination criterion. It's a decision aid, not a decision.

**Signals.** The points in the analysis that deserve your attention. Those that can stop an application are marked **Deal-breaker**, and the panel counts them separately. The others appear as points to review: a discrepancy with the CV, marked **CV mismatch**, or something to confirm. Every signal is backed by a passage from the interview. Without an attached quote, it isn't published.

## Your data and your team

**Talent pool.** All the candidates your organization knows: those from your interviews and, if you've connected an ATS, those from your applications. Sourcing and the Assistant only work on this talent pool.

**ATS.** Your applicant tracking system, the tool where you manage applications. You connect it to Hirify to link interviews to applications.

**Organization.** Your workspace and everything in it: members, interviews, templates, and connections. An account belongs to a single organization.

**Role.** What you can do in the organization. A **Member** only sees their own interviews. A **Manager** sees the interviews of the whole organization. An **Admin** also manages members and settings. A **Billing admin** manages members, the subscription, settings, and integrations, with no access to product features.

## The three spaces of your talent pool

**Assistant.** Where you ask questions in plain language about your interviews, your candidates, and your interview notes. Every answer cites its sources.

**Sourcing.** A search of your talent pool for profiles that match a job you describe. Hirify doesn't search anywhere else.

**Analytics.** The dashboards you build by describing what you want to see. **Data reliability** is its counterpart: the quality of the data those dashboards rely on.

## Good to know

* Assistant, Sourcing, and Analytics are available from the Hub plan. Analytics and Data reliability also require the administrator or manager role.
* The sidebar groups these entries under **My workspace**, **Interviews**, **Data**, and **AI talent tools**. Your interviews are listed under **Interviews**.
* The English interface calls it the meeting assistant, for example on the **Add the meeting assistant** button in the Calendar and in the **Assistant joined** and **Assistant not admitted** statuses. This documentation does the same.
