Hirify’s interview capture works by joining your scheduled meetings automatically, recording the conversation, transcribing it, and using the transcript to enrich the candidate profile. When something goes wrong at any of these steps, the sections below will help you identify the cause and get back on track.

Recorder Did Not Join the Meeting

If Hirify’s recorder did not appear in your meeting as expected, there are three common causes to check:

Verify the meeting is on your connected calendar

Hirify identifies interviews to record based on events in your connected calendar. If the meeting was created in a calendar that is not linked to Hirify, the recorder will not receive the trigger. Go to Settings > Calendar and confirm that the correct calendar account is connected and active.

Check that Hirify has calendar access

In Settings > Calendar, look for a green Connected status next to your calendar provider. If the connection is expired or revoked, re-authorise it. Calendar access can be revoked by your Google Workspace or Microsoft 365 admin, so check with your IT team if the connection keeps dropping.

Confirm the meeting link format is supported

Hirify’s recorder supports standard meeting links from Google Meet, Microsoft Teams, and Zoom. Ensure the calendar event contains a valid meeting link in the description or location field. Custom video platforms or links behind single-sign-on walls may not be joinable by the recorder. Contact support@hirify.fr if you need support for a specific platform.

Transcription Is Missing or Incomplete

If the recording completed but no transcript was generated, or the transcript cuts off early, check the following:

Check the interview duration

Hirify requires a minimum interview duration of 5 minutes before processing a transcript. Very short calls — test calls, brief check-ins, or calls that dropped almost immediately — are not processed to avoid generating low-quality or meaningless transcripts.

Assess the audio quality

Transcription accuracy depends on audio quality. If the recording contains significant background noise, echo, or very low volume, the transcription engine may produce incomplete output or skip sections. Review the recording in Hirify > Interviews to assess audio quality.

Contact support with the interview ID

If the transcript is completely blank and the interview was longer than 5 minutes with acceptable audio quality, this may indicate a processing error. Contact support@hirify.fr and include the interview ID, which you can find in the URL when viewing the interview in the Hirify app.

Transcript Quality Is Poor

If transcripts are generated but contain frequent errors, misidentified speakers, or garbled text, the tips below will improve quality for future interviews:
Headsets significantly reduce ambient noise and ensure your voice is captured clearly at a consistent volume. Built-in laptop microphones pick up keyboard noise, fan noise, and environmental sounds that degrade transcription quality.
Speakerphone places the microphone further from the speaker and increases the chance of echo and background noise. If you must use speakerphone, ensure you are in a quiet room with no competing audio sources.
Hirify’s transcription engine is optimised for French and English spoken at a natural conversational pace. Extremely fast speech, heavy regional accents, or extensive use of domain-specific jargon may reduce accuracy. Encourage candidates to speak clearly as well — especially if they are joining from a mobile device.
Packet loss on unstable internet connections causes audio gaps that the transcription engine cannot recover. Encourage remote candidates to use a wired connection or stable Wi-Fi rather than mobile data.

Candidate Profile Was Not Enriched After Interview

After an interview ends, Hirify processes the transcript and enriches the candidate profile within 5 to 10 minutes. If the profile has not been enriched after a reasonable wait, follow these steps:

Wait 10 minutes after the interview ends

Enrichment is triggered automatically when the recording is finalised. This process typically completes within 5 to 10 minutes, but may take slightly longer during periods of high usage.

Check the interview status in Hirify

Navigate to Hirify > Interviews and locate the relevant interview. Each interview shows a processing status. A Completed status means enrichment has finished. A Processing status means it is still running. A Failed status means an error occurred during enrichment.

Contact support if the status shows 'Failed'

If the interview status shows Failed after 30 minutes, contact support@hirify.fr with the interview ID. The support team can investigate the processing error and, where possible, reprocess the transcript manually.

Candidate Was Not Informed of Recording

If a candidate was not informed that their interview was being recorded before the recording took place, you must delete the recording immediately. This is a legal obligation under GDPR.To delete the recording, go to Interviews > [Interview Name] > Delete Recording. Deleting the recording also removes any transcript and enrichment data derived from it.Failing to obtain informed consent before recording is a serious GDPR violation. Review your consent collection process and ensure all future candidates are informed and give explicit consent before any interview begins.
