Your jobs, candidates, and applications stop updating. Before assuming an outage, open the connection card. It tells you what state it’s in.

Read the connection status

Open Settings, then Integrations. The ATS section lists the ATSs and details the connected one. Four things can be read there, from top to bottom.
  • A green dot followed by Connected. If it’s gone and the button shows Connect again, the connection has been turned off.
  • A status line that describes the sync and ends with “Last checked”, followed by how long ago the last check ran. A time that stops moving is the most reliable signal.
  • A red box, when there is one, showing the error message your ATS returned during the last exchange.
  • The four counters Candidates, Jobs, Applications, and Interviews.
If the page says “Couldn’t check the status of your ATS connections.”, the display failed, not the sync. Click Try again.

The connection was turned off

Hirify regularly checks that its access still works. When authentication is refused, the connection is turned off and you get an “ATS connection disabled” notification with the reason:
  • Token expired or revoked: the access token is no longer valid. Generate a new one in your ATS.
  • Token not renewed: the authentication token expired and couldn’t be renewed.
  • Periodic check: the regular check found an authentication problem.
The card then falls back to Connect. Your data already imported stays in place, but nothing new comes in. Set up the connection again.
In your admin area, open Apps, then OAuth Credentials, and create a new app. Check the permissions listed in the Hirify wizard, copy the Client ID and Client Secret, then paste them into the Connect SmartRecruiters window.
Don’t click Disconnect to “start from scratch” without reading the confirmation window. The checkbox there also deletes the imported candidates, jobs, and data. This can’t be undone.

The data arrives, but late

The connection is active, yet new items take hours to show up. Look at the card’s status line. It tells you how your ATS syncs.
  • “Real-time sync via webhooks.”: changes arrive as soon as they happen.
  • “Periodic sync. Set up webhooks to enable real time.”: the webhooks aren’t in place or haven’t sent anything yet.
  • “Automatic sync every day.”: new items arrive once a day.
In the periodic case, the Webhook setup block at the very bottom of the card shows a To set up badge. For Nicoka, it details two steps to complete in your ATS: create the webhooks, then the events that trigger them. For Teamtailor, you create the webhook in Teamtailor, then paste the signing key it generates into Hirify. Until that key is saved, Teamtailor events are rejected. Once the first events are received, the badge switches to Setup detected.

An import that never ends

Right after connecting, the four counters are at zero and a box says the initial sync is in progress. That’s normal. The talent pool comes in waves. The first import starts with recent applications, then goes back through the history, which can take a day for a large volume. The Refresh button updates the counters. If everything is still at zero several hours later, check that the account used on the ATS side has access to jobs, candidates, and applications. Partial access gives a valid connection that brings in nothing.

Good to know

  • There’s no “sync now” button. Hirify runs its exchanges at the pace shown on the card’s status line.
  • The ATS section only appears for administrators and billing admins. Other members see “ATS and CRM integrations are managed by your organization’s admins.”
  • Only one connection is active per organization. While an ATS is connected, the other cards show a grayed-out Connect button.
  • A restored connection doesn’t instantly replay what was missed. The data comes in over the following checks.
  • While the connection is turned off, nothing can be shared from an interview. Reconnect your ATS, then share the analysis again if needed.
