Short answers to the questions that come up most often. Each one links to the page that covers the topic in detail.

Recording an interview

Yes. The duty to inform falls on your organization, not on Hirify. Announce the recording before you start it and give the candidate the chance to refuse. Notice templates to adapt and have reviewed are in Inform your candidates.
Yes, with In person on the Dashboard. You generate a QR code and scan it with a phone. Recording starts in the phone’s browser, with nothing to install.
Yes, with Upload audio on the Dashboard. You give it a title, set the number of participants, and drop in the file, up to 1.5 GB. The steps are in Upload an audio recording.
First clear the filters on the Interviews list. A Status filter can hide a failed interview. If a colleague started the interview, also open the user filter and choose Whole team. The full steps are in The interview wasn’t recorded.

Interview notes and analysis

On the interview page, in the Notes tab. Two other tabs sit next to it:
  • Key takeaways: a short summary.
  • Transcript: the full text.
Yes, you edit them directly. You can also regenerate them, but regenerating replaces the text in place. Your manual edits are then lost.
No, except in one specific case. By default, you open the interview’s ATS panel, review the preview, give your verdict when your ATS accepts one, then confirm the share. The exception: with the Teamtailor Hirify card, the Publish the analysis automatically setting sends the analysis and the interview notes as soon as the interview ends. It’s off by default.
No. The analysis reports signals grounded in what was said in the interview, with the quote each one rests on. The hiring decision stays yours.

Your connected tools

One at a time per organization. While a connection is active, the other cards show a grayed-out Connect button with the message “Only one ATS can be connected at a time. Disconnect the current one to switch.”
No, they’re mutually exclusive. When one is active, the other shows “Active calendar: Google Calendar” or “Active calendar: Microsoft Outlook”, and its button stays inactive.
There are two cases to tell apart. The interview notes and the evaluation only go out if you send them from the interview’s ATS panel, after a confirmation. Some automations, however, write without a per-interview approval:
  • Automatic tags: adds summary tags to the candidate’s profile after each analyzed interview.
  • Fill in ATS fields: fills in the custom fields that are still empty and notifies you.
  • Publish the analysis automatically: with the Teamtailor Hirify card, sends the analysis and the interview notes to the candidate’s profile as soon as the interview ends.
All of them are off by default. Only an administrator or a billing admin turns them on for the connection, in Settings, then Integrations, in the connection’s Settings section. See ATS automations.
Syncing stops and the data already imported is kept by default. A checkbox in the confirmation window lets you delete that data too. The deletion can’t be undone.

Access, roles, and plans

A Member only sees their own interviews. The Manager and Admin roles see the interviews of the whole organization. The Billing admin role has no access to interviews and doesn’t use a seat.
Sourcing and Assistant stay visible but grayed out when your plan doesn’t include them. They’re available from the Hub plan. Their tooltip says “Available on the Teams plan”, which means the Hub plan. Analytics and Data reliability aren’t grayed out. They’re missing from the menu until you have both the Hub plan and the Manager or Admin role. Custom templates and calling are available from the Starter plan.
Starter and Hub are billed per seat, per month. Volume includes everything in Hub and is priced on quote. Its price shows as “Custom” and the Talk to our team button opens a contact form. The details of the three plans are in Plans and access.
No. Hirify sends them no message, no email, and no call. You review the outreach messages it drafts and send them from your own tools.
No. It only searches your talent pool, meaning your organization’s candidates.

Good to know

  • Deleting an interview can’t be undone. There’s no trash.
  • Hirify sends no message to a candidate and looks for no profile outside your talent pool. Interview notes don’t go out unless you trigger it, except when Teamtailor automatic publishing is on. The decision stays yours. The only writes that happen without an action from you are the automations an administrator or a billing admin turned on.
  • Not every ATS can be connected. Boond Manager and Jarvi appear in Settings, then Integrations, under Coming soon, with no connect button.
  • The settings available for a connection depend on the connected ATS. A missing option isn’t a problem with your account. That ATS just doesn’t support it.
  • Single sign-on has no configuration screen. Your Hirify contact sets it up with you.
  • The Help center entry in your user menu opens this documentation in a new tab.
  • If your question isn’t answered here, ask support from your user menu.
