The Members page brings together everything about your team: invites, roles, deactivated accounts, and the seats left on your subscription.

Open the members page

In your account menu, at the bottom of the sidebar, choose Manage members. Managers can open it too, under Team members, but read-only. They see the list and the per-member statistics, without the actions. The header sums up the state of the team: the number of active members, inactive members, and pending invites.

Open the invite window

Click Invite a member, at the top right.

Enter the address

Fill in your colleague’s Email address.

Choose the role

The Role list offers Member, Manager, Admin, and Billing admin. Below the list, a privileges box, such as Manager privileges, describes what the selected role allows.

Send

Click Send invite. The invite shows up right away in the Pending tab.

The four roles

You can still invite a billing admin when every seat is taken. The invite window says “Billing admins don’t use a seat.”

Track pending invites

The Pending tab lists the invites you sent, with the email address, the intended role, the person who sent the invite, and the expiry date. A badge shows the state of the link: Active, Expiring soon, or Expired. Each row offers two actions: Resend invite and Cancel invite. Canceling makes the link invalid immediately.

Respond to a request to join

When a colleague creates an account with an email address on the same domain as yours, Hirify offers to let them ask to join your organization. These requests collect in the Requests tab, which only appears when there’s at least one. Accept, and the person joins the organization with the Member role. Decline, and they’re notified. They can then create their own organization. The requester’s side is described in Join an organization.

Change a member’s role

In the Active tab, open the actions menu at the end of the row, then pick the new role under Change role. The change takes effect right away.

Remove or reactivate a member

The same menu offers Remove. A confirmation warns that “The member loses access to the organization immediately.” Removed accounts move to the Inactive tab, with the time since deactivation and the person who had invited them. The Reactivate button brings them back, provided a seat is free.
Removing a member cuts off their access on the spot. First check who takes over their ongoing interviews. A member only sees their own interviews, and only managers and administrators see those of the whole organization.

Track the seats in use

The number of seats depends on your subscription. Two alerts warn you at the top of the page:
  • Few seats left: fewer than three seats are available.
  • Seat limit reached: none are left. A link then takes you to the Subscription page.
The exact count is on the Usage tab of the Subscription page, under Active members.

Good to know

  • Only administrators and billing admins can invite, remove, or change the role of a member.
  • A manager can view the list and the per-member statistics but can’t act on them.
  • A billing admin doesn’t use a seat and has no access to the product. They’re redirected to the members page. They do manage organization settings and integrations.
  • The last person who can manage the organization, administrator or billing admin, can’t be demoted or removed.
  • An expired invite can’t be extended. Resend it to generate a new link.
  • No seat is freed automatically. A member who no longer uses Hirify keeps a seat until they’re deactivated.
