Three moments to pick a template
You pick the template at one of these three moments:- Before the interview: from the Calendar, you attach a template to the event.
- After the interview: from the interview page, you create a note from a template.
- Neither: your default template takes over.
Before the interview, from the calendar

Open the event
In the sidebar, click Calendar, then the event. A panel opens on the right with the event title and time.

Browse your templates
Under Notes template, three tabs split the list: Yours, Shared, and Library. The Search notes templates… field filters all three by name, description, and tags.

Select, then confirm
Click the card of the template you want. Then click Add the meeting assistant to send the meeting assistant with that template. If the meeting assistant is already scheduled for this event, the button reads Update and stays disabled until you change something.
Once the event has started, you can no longer change the template of a meeting assistant that’s already scheduled. The panel only offers Close. As long as no meeting assistant is scheduled, you can still pick a template and click Add the meeting assistant, and the meeting assistant joins right away. On an event that has ended, the panel shows “Notes templates can’t be changed once the event has ended.”
After the interview, from the interview page
A processed interview can get another note, built on a different template. Each new note is added to the existing ones. None is replaced.1

On the interview page, click Actions in the vertical bar on the right.

Pick the template
The Pick a template window has the same Yours, Shared, and Library tabs. Click a template and generation starts.
The No template option isn’t offered here. You’re explicitly asking for a note, so it needs an outline.
Your default template
If no template is attached to the interview, Hirify applies the one you set as your default. This setting is personal. It applies to your interviews, not to your colleagues’ interviews. You set it from Notes templates, with the Use as default toggle on a template you’re viewing, or with Default template at the bottom of the editor. In the calendar panel, the first card in the list is No template. Choosing it attaches no outline to the event. Interview notes are still produced in most cases. Hirify then applies, in this order:- On an interview created from your ATS, the default template set in its automations.
- Otherwise, your default template if you have one.
- Otherwise, interview notes structured from the content of the interview itself.
Good to know
- The interview notes are written after the interview, once the recording is transcribed. Nothing is written while you talk.
- When information the template asks for wasn’t discussed, the notes say it wasn’t covered in the interview. Nothing is filled in by guesswork.
- The interview notes only go to your ATS when you share them, unless automatic publishing for the Teamtailor Hirify card is on. See Share the analysis.
- The calendar picker only shows the templates you have access to: yours, those shared by your team, and those curated by Hirify.
- On an event that already has a saved template, switching back to No template and clicking Update doesn’t detach that template. To change the outline, select another template.
