Hirify has four organization roles. They decide which interviews you see and what you can do with members and the subscription.

The four roles

The role is set when you invite someone and can be changed later. The labels below are the ones the interface shows.

Who sees which interviews

This is the difference you notice most day to day.
  • A Member only sees the interviews they created.
  • A Manager and an Admin see all of the organization’s interviews and can edit or delete them.
  • A Billing admin can’t access any interview.
Switching a member to Manager or Admin gives them access to every interview the organization has already recorded, including the ones from before their role changed.

Who can manage members

A Manager who opens the page sees the list of active members and their stats, without the management tabs or the Invite a member button. A Member doesn’t have the entry in their menu. If they open the address directly, they get a Restricted access screen.

Change a member’s role

1

Open the Members page

Open the menu with your name at the bottom of the sidebar, then Manage members.
2

Find the person in the Active tab

The search field accepts a name or an email address.
3

Change their role

Select the new role on their row. The “Role updated” message confirms the change.
Two safeguards apply:
  • You can’t change your own role.
  • The last person who can manage the organization, an active Admin or Billing admin, can be neither demoted nor removed. You can still demote the last admin, though, as long as an active billing admin remains.

What depends on the plan

Some features don’t open with the role alone. They need the subscription first.
  • Sourcing and Assistant are available from the Hub plan. Without it, the entry stays visible in the sidebar, but grayed out and not clickable.
  • Analytics and Data reliability need both the Hub plan and the Admin or Manager role. If either condition is missing, the entry doesn’t appear in the sidebar at all. Without the plan, opening the address directly takes you back to the dashboard. With the plan but without the role, you get a Restricted access screen. It reads “Dashboards are available to your organization’s admins and managers only.” on Analytics, and “Data reliability is available to your organization’s admins and managers only.” on Data reliability.
  • Single sign-on is part of the Volume plan.
The plan details are in Plans and access.

Good to know

  • The Billing admin role opens no product feature. The person is redirected to the members page. It does give access to the organization settings and the integrations, from the Settings entry in their sidebar. It suits an administrative profile, an accountant, or an office manager, not a recruiter.
  • It’s the only role that doesn’t use a seat on your subscription.
  • An organization can run without any admin, with billing admins only. They then manage members, the subscription, the settings, and the integrations, while recruiters use the product with the Member or Manager role.
  • The Role field on the Profile page is a free-text job title. It has nothing to do with the organization role described here and grants no rights.
  • A role applies to the whole organization. Hirify doesn’t let you restrict a member to a given job, team, or client.
  • Changing the organization’s custom vocabulary requires the Admin role.
