A template can stay yours or serve the whole team. This page explains how to set its visibility, choose the one that applies by default, and reuse a scorecard you already have in your ATS.

Personal or Team: who sees your templates

The list on the left of the Notes templates page sorts templates into three groups.

Share a template with your team

Visibility is set in the editor, at the top right, with two tabs: Team and Personal.

Open the template

Click its name in the list on the left.

Switch the visibility

Under Visibility, click Team to share it, or Personal to keep it to yourself.

Save

Click Save. The template moves to its new group in the list.
A newly created template is set to Team. If you want one to stay private, switch the visibility before saving.
A template shared by a colleague opens read-only. You see its structure, questions, and instructions, under “Shared by” followed by their name. The Duplicate button gives you an editable copy in your templates. The original stays managed by its creator. On a template curated by Hirify, the same button reads Customize.

Set your default template

The default template applies to your interviews when no template was chosen. This setting is personal. It doesn’t apply to anyone else.
Open the template. At the bottom of the editor, next to Cancel, turn on the Default template toggle.
The selected template carries the Default badge in the list on the left. Only one can be the default: setting another one replaces the previous one. Turning the toggle off removes the default. Interviews without a template then get interview notes structured from their content alone, provided the analysis completed and the conversation has enough substance to summarize. One exception: on an interview created from your ATS, the default template set in its automations takes precedence over yours.

Import a scorecard from your ATS

If your ATS exposes its scorecards, you can reuse one as a template instead of typing it in again.

Start a new template

On Notes templates, click the + button.

Open the list of scorecards

At the very bottom of the pane, click import a scorecard from your ATS. This link only appears if scorecards are available.

Choose the scorecard

Each card shows the scorecard’s name and its size, in themes and questions. Click the one you want.

Import

Click Import this scorecard. The template is created and opens right away in the editor, where you can adjust it.
On import, each theme of the scorecard becomes a field of the template, its questions guide the writing, and a summary section is added with an overall opinion, strengths, and points of caution. The resulting template carries the ATS badge in the list.
Importing a scorecard doesn’t link anything: the interview notes it produces stay in Hirify. Sending them to your ATS goes through sharing the analysis from the interview’s ATS panel, whether you use a scorecard or not. See Share the analysis.

Update a scorecard you already imported

A scorecard you already imported carries the Imported badge. Select it again. This time the button reads Update import, and the existing template is realigned with the scorecard as it currently stands in your ATS. If a colleague imported it before you, the card reads Imported by a member and can’t be selected. Ask them to share their template with the team, or duplicate it from the list.

Good to know

  • Only some ATSs expose their scorecards. When yours doesn’t, or when no connection is active, the import link doesn’t appear.
  • An organization has only one active ATS connection.
  • Sharing a template shares the outline, not the interview notes. What each person sees of the interviews depends on their role, described in Roles and access.
  • From the list, you can only delete or duplicate your own templates. A colleague’s templates open read-only.
  • Deleting a template doesn’t delete the interview notes already written with it.
