Invites go out by email, with a role chosen from the start. An invite stays valid for seven days, and you track what happens to it from the Members page.

Send an invite

Open the Members page

Click the menu with your name at the bottom of the sidebar, then Manage members. The header shows the number of active, inactive, and pending members.

Click Invite a member

The Invite a member window opens. An Available seats box shows how many seats you have left on your subscription.

Enter the email address

Fill in the Email address field. Only this address can use the invite link.

Choose a role

The Role selector offers Member, Manager, Admin, and Billing admin. Below the selector, a card named after the role, such as Member privileges, lists what that role allows.

Send

Click Send invite. The “Invite sent” message confirms that the email went out.

Choose the role when you invite

The role isn’t final. An administrator can change it later. When you send the invite, keep two points in mind.
  • Billing admin doesn’t use a seat. It’s the role to give an accountant or a purchasing department that won’t use the product.
  • The other three roles each use a seat. When none is left, the selector disables them.

When no seats are left

The box changes to No seats available and offers two ways forward:
  • Upgrade your plan to invite more members.
  • Invite a billing admin, who doesn’t use a seat.
The Members page shows a Few seats left banner as soon as fewer than three seats remain, and Seat limit reached when none is left. See Subscription and billing.

Track pending invites

The Pending tab lists the invites that haven’t been accepted yet, with their recipient, their role, and the person who sent them. A badge sums up their state:
  • Active: the invite is still valid.
  • Expiring soon: less than twenty-four hours are left.
  • Expired: the deadline has passed.
Each row has two actions:
  • Resend invite: the seven-day period starts over.
  • Cancel invite: the link stops working. The confirmation says so: “The invite is cancelled and its link stops working.”

What the invited person receives

They receive an email with a link to a You’re invited page. It names your organization, the person who invited them, the address the invite was sent to, and the time left before it expires.

If they aren't signed in to Hirify

The button reads Create an account and accept. Their address is prefilled on the sign-up screen, with the note “Prefilled from your invite.” They choose a password, enter their first and last name, and land straight in your workspace. If they already have a Hirify account, they have to sign in first, then open the invite link again. Sign-up will reject their address.

If they're already signed in

The button reads Accept invite.
If the link has expired or been canceled, the Invalid invite page tells them to come back to you for a new invite.

Good to know

  • An invite expires after seven days. After that, only resending it makes it valid again.
  • Only the Admin and Billing admin roles can invite, remove a member, or change a role. A Manager can view the member list but can’t act on it. A Member has no access to it.
  • An invite is tied to one email address. It can’t be passed on to a colleague.
  • Resending an invite doesn’t create a new link. It extends the existing invite by seven days and sends the same email again. The address and the role stay the same.
  • Hirify doesn’t import a directory or create accounts in bulk. Each member is invited one at a time or requests to join on their own.
