The meeting assistant joins your video meeting, records it, and transcribes it. It shows up in the participant list like any other guest.

Three ways to bring in the meeting assistant

All three lead to the same result: an interview that appears under Interviews and goes through the same processing.

Open the Dashboard

It’s the Hirify home page. Find the Start an interview row.

Paste the video meeting link

In the Paste a Meet or Teams link field, paste the meeting address.

Confirm

Press Enter or click the arrow on the right of the field. The message “Meeting assistant invited to the meeting” confirms it’s on its way.
If the link isn’t recognized, Hirify replies “Invalid link. Use a Google Meet or Teams link.” and nothing happens.

Invite notes@bot.hirify.fr to your calendar invitation

This is the simplest path for an interview that’s already booked. You add the assistant like any other guest.

Open the Schedule by email window

On the Dashboard, click Schedule by email.

Copy the address

Click Copy address. The address shown is notes@bot.hirify.fr.

Add it as a guest

In your calendar invitation, paste the address into the guest list, then send the invitation.
The assistant joins the video meeting at the time set in the event.
This path needs no calendar connection. It works from any calendar tool, as long as the invitation contains a video meeting link and is sent from the email address of your Hirify account.

Add the meeting assistant to an event from the Calendar

This path requires your calendar to be connected to Hirify. It offers something the other two don’t: choosing the notes template right away.

Open the Calendar

In the sidebar, under My workspace, click Calendar.

Click the event

A panel opens on the right with the event title and time.

Choose a notes template

Under Notes template, select the one to apply. You can skip this and do it later.

Click Add the meeting assistant

The message “Meeting assistant added” confirms it’s scheduled.
On an event that’s already scheduled and hasn’t started yet, the same panel offers Update to change the template and Delete to cancel. Deleting asks for confirmation: “The meeting assistant won’t join this meeting anymore. This can’t be undone.” Once the event has started, the panel only offers Close. When your calendar is connected, the Dashboard also shows an Agenda block, split into Today and Upcoming. Each event without a scheduled assistant has an Add the assistant button, which takes you to the Calendar to finish.

Check that the meeting assistant joined

Two places tell you. In the Dashboard’s Agenda block, an event with a scheduled assistant shows Assistant scheduled instead of the Add the assistant button. On the Calendar, it has a small robot icon in the top-right corner of the event tile. Under Interviews, the interview goes through Pending, Assistant joined, Meeting in progress, then Processing transcript. The list updates by itself.
If the meeting screens people before letting them in, the host must admit the assistant like any other participant. Otherwise the interview stops at Assistant not admitted and no recording is kept.

Good to know

  • The Dashboard field and its error message mention Google Meet and Teams.
  • Participants can see the meeting assistant. Tell them about the recording before you start it. See Inform your candidates.
  • A recording shorter than one minute isn’t transcribed. The interview shows Too short.
  • Once the event has started, you can no longer change the template of a scheduled assistant. On an event that has ended, the panel shows “Notes templates can’t be changed once the event has ended.”
  • The Calendar is the only path that lets you choose the notes template when you schedule the assistant. The other two leave that choice for later.
