Connecting your applicant tracking system (ATS) brings your jobs, candidates, and applications into Hirify. Each recorded interview then sits next to the right application.

What the connection gives you

The ATS section of the Integrations page puts it this way: “Connect your ATS to link interviews to applications and send your evaluations back.” Once the connection is set up:
  • Hirify imports your jobs, candidates, applications, and interviews, then keeps that import up to date.
  • A recorded interview can be linked to an application, by hand or from a scheduled interview.
  • After the analysis, you can share the analysis to the candidate profile: the interview notes, and your verdict when your ATS accepts one.
  • The imported talent pool feeds Assistant, Sourcing, and Analytics.
The interview notes don’t go to your ATS on their own. You review them and you’re the one who shares them. The one exception is the Publish the analysis automatically setting of the Hirify card for Teamtailor, which is off by default.

Before you start: your plan and your role

Access to this feature depends on your plan. It’s available from the Hub plan. The plans and what they include are detailed in Plans and access. As for roles, the ATS section is reserved for the organization’s administrators and billing admins. Other members see this message instead: “ATS and CRM integrations are managed by your organization’s admins.” See Roles and access. Before you start, make sure you have administrator access to your ATS. That’s where the credentials are created.

One active connection per organization

An organization connects one ATS at a time. If a connection already exists, the Connect button of the other ATSs is disabled and a tooltip explains: “Only one ATS can be connected at a time. Disconnect the current one to switch.” To change tools, first disconnect the active one. The steps, and the choice to keep or delete the imported data, are described in Disconnect a tool.

Connect SmartRecruiters

Open the connection wizard

In Settings, Integrations, ATS section, click Connect next to SmartRecruiters. The wizard opens on the Prepare step.

Create an app in SmartRecruiters

The wizard takes you to your SmartRecruiters admin area, under Apps, then OAuth Credentials, to create an app. Check the permissions the wizard lists. Two of them come with a note: reading the configuration is recommended for filling in custom fields, and the Messages permission lets the interview notes go to the candidate’s notes. Without a required permission, the connection is refused.

Paste your credentials

Click I have my credentials, paste the generated Client ID and Client Secret, then click Connect.
If a permission is missing, the wizard shows Insufficient permissions and points to exactly which ones to add. Fix the app in SmartRecruiters, then run the connection again from the wizard.

Connect Teamtailor

Teamtailor connects with an API key created in your Teamtailor workspace.

Create an API key in Teamtailor

Click Connect next to Teamtailor. The wizard opens on the Prepare step. The Open Teamtailor button leads to the API keys of your workspace, under Settings > Integrations > API keys. Create a key with the Admin scope and the Read / Write permission, then copy it.

Paste the key

Click I have my API key, paste the key into the API key field, then click Connect. If the key doesn’t carry every required permission, the wizard shows Insufficient permissions and lists the missing ones. Fix the key in Teamtailor, then click Try again.

Set up the webhook

After connecting, the Teamtailor card shows a Webhook setup in Teamtailor block, marked To set up. In Teamtailor, open Settings, Integrations, Webhooks and create a new webhook with the URL shown and the Candidates, Applications, and Jobs resources. Teamtailor then shows a signing key. Paste it into the Signing key field of the block, then click Save. The badge switches to Setup detected as soon as the first events arrive.
The API key gives Hirify full access to your Teamtailor data. It’s encrypted and only used for your organization. Without the webhook, sync stays daily. Until the signing key is saved, the events Teamtailor sends are rejected.

Enable the Hirify card in Teamtailor

The Hirify card is optional. It shows the analysis right on the candidate profile in Teamtailor and sends the resume at every interview stage. Teamtailor enables it on request.

Get the activation code

On the connected Teamtailor card, the Hirify card in Teamtailor block offers Get the activation code. The window that opens shows a connection code specific to your organization, with a Copy button.

Have the Hirify integration added

Ask your Teamtailor contact to add the Hirify integration to your account. Then, in Teamtailor, open Settings, Integrations, Hirify and start the installation.

Paste the code

When the installation form asks for a connection code, paste the one you copied. It’s valid for 24 hours. Once the installation is confirmed, the card turns on by itself in Hirify.
Once the card is active, the Publish the analysis automatically setting appears among the connection settings. When it’s on, it sends the analysis and the interview notes to the candidate profile as soon as the interview ends. When it’s off, which is the default, nothing leaves until a recruiter has shared the analysis from the interview page.

Connect Nicoka

Create an API user in Nicoka

In Nicoka, open Paramétrage, Administration, Utilisateurs, Utilisateur API. Create a dedicated API user there. Then generate an access token for this user.

Enter your workspace and your token

In Hirify, click Connect next to Nicoka. Enter your Nicoka workspace subdomain in Nicoka subdomain or address, or the full address for a trial account. Then paste the token into API access token.

Set up the webhooks

After connecting, the Nicoka card shows a Webhook setup in Nicoka block, marked To set up. It gives the URLs and the key to copy into Nicoka, under Paramétrage, webHooks. Setup takes two steps: create the webhooks, then the events that trigger them. The badge switches to Setup detected as soon as a first signed call arrives.
The API user needs access to jobs, candidates, users, and candidate actions. Without the webhook setup, sync stays periodic.

Boond Manager: coming soon

Boond Manager is listed in the Coming soon section of the Integrations page, with a badge of the same name. It can’t be connected today. If you work with Boond Manager, let support know.

Follow the first import of your talent pool

As soon as the connection is set up, Hirify starts a first import. The card shows “Initial sync in progress. Your ATS data will appear here progressively.” and a Refresh button. Four counters fill up as the import runs: Candidates, Jobs, Applications, and Interviews. A large talent pool takes time to come in. Let it run and come back to the page later. Above the counters, a line describes how your ATS syncs, followed by “Last checked” and how long ago the last check ran. It shows one of these three messages:
  • “Real-time sync via webhooks.”
  • “Periodic sync. Set up webhooks to enable real time.”
  • “Automatic sync every day.”
Nicoka and Teamtailor stay on the periodic sync message until a first webhook arrives. This pace only applies to the import. The interview notes and your verdict only go back to your ATS when you share the analysis. Once about twenty jobs have been imported, Hirify suggests grouping your jobs into job families, which you can correct. See Job families.

Good to know

  • The first import brings in twenty-four months of history. An older candidate enters Hirify the day an update about them arrives from your ATS.
  • The interview notes and your verdict only go back to your ATS when you share the analysis. However, if an administrator or a billing admin has turned them on, summary tags and filling in custom fields that are still empty write to the candidate profile on their own. See ATS automations.
  • Only one connection is active per organization, and only an administrator or a billing admin of the organization can set it up.
  • Boond Manager can’t be connected yet.
  • If sync stops, the card shows the error message returned by your tool. See My ATS isn’t syncing anymore.
